The Approved Locations feature allows a Health Plan to define and enforce rules controlling where a member can be picked up and dropped off during trip scheduling. This helps ensure that transportation occurs only between approved facilities or residential addresses, maintaining compliance and network control.
Step by Step.
1. Accessing the Approved Locations Configuration
Log in to Trip Scheduler with an account that has administrative privileges.
Navigate to Settings → Configuration → Locations.
2. Adding a New Approved Location
From the Locations screen, click the blue “+ Add Location” button in the top-right corner.
Complete the required fields:
Location Name – The name of the facility or residential address.
Location Type – Select from the dropdown (e.g., Facility, Residential, Other).
Street Address / PO Box
City, State, ZIP Code
(Optional) Configure additional details:
Preferred Provider – Assign a provider preferred by this location. This helps users identify the preferred provider during trip assignment if the facility is involved in the trip.
Appointment Reason – Specify an appointment reason associated with this location.
Phone Number – Enter the contact number for the facility or residence.
Click Save to add the location.
3. Managing Existing Locations
Once added, approved locations will appear in the Locations list.
Use the search bar above the table to find a specific location by name or address.
Click the three dots (⋮) next to any location to:
Edit – Update location details or settings.
Delete – Remove the location from the approved list.
4. Enforcing Approved Location Rules
To determine how strictly approved locations are enforced during trip creation:
Go to Settings → Configuration → Creation.
Locate the Approved Location Mode setting.
Choose one of the following enforcement levels:
STRICT – Both pickup and drop-off locations must be on the approved list.
SEMI-STRICT – At least one address (either pickup or drop-off) must be approved.
OFF – Approved locations are shown but not enforced.
The system will check each address during trip creation and display a clear message if an address does not meet your policy.
This flexibility allows you to manage your network’s facilities with the level of control that best fits your operational and compliance needs.

Regularly review your list of approved locations to ensure accuracy and network compliance.
Use meaningful Location Names for easy searching and trip association.
Assign Preferred Providers when possible to streamline trip assignment and provider selection.
