Assigning Providers Using the Updated Assignment Screen in Trip Scheduler

The updated Assignment Screen provides complete visibility before confirming a trip. Providers are ranked by cost and display key details including capacity limits, preferred badges, and rate information. Member- and facility-preferred providers are highlighted at the top of the list, enabling schedulers to balance cost, availability, and preferences efficiently. The screen also includes alerts when a provider’s capacity is running low, helping teams make informed decisions.

Procedure

1. Access the Assignment Screen

  1. You can assign a trip by other navigating to the trip details page for the trip you need to assign, or selecting one or more trips from the All Trips page.

  2. Click Assign Trip.

  3. The Assignment Screen will appear, showing providers who are available for the trip.


2. Review Available Providers

  1. Providers are displayed in order of price, low to high, with member- and facility-preferred providers shown at the top.

  2. Key information displayed for each provider includes:

    • Cost/Rate Details (hover over the “i” icon to see a breakdown for Trip 1 and Trip 2)

    • Capacity Limits

    • Preferred Badges (member preferred, facility preferred)

    • Availability Alerts if capacity is running low


3. Search and Filter Providers

  1. Use the search bar to look up a provider by name if you want to assign a specific TP.

  2. Use the label filters to narrow down providers based on:

    • Member Preferred – the member associated with the trip has a preferred TP on their profile.

    • Facility Preferred – if the trip involves a facility that has an approved preferred TP, this filter surfaces that provider.

    • Did Not Cancel Last Time – filters to providers who did not cancel the last trip assigned to them.

    • Completed Trip Last Time – filters to providers who successfully completed the last trip assigned to them.


4. Compare Providers

  • Review cost, availability, preferred status, and labels to determine the most appropriate provider for the trip.

  • Hover over the “i” icon to see a detailed cost breakdown for Trip 1 and Trip 2.

  • Alerts will help you avoid providers whose capacity may be exceeded.


5. Assign the Provider

  1. Select the desired provider from the list or search results.

  2. Confirm the assignment to finalize the trip.

Tip: Member- and facility-preferred providers are ranked at the top, but always consider capacity, labels, and cost before confirming.
