Create a New Trip
To create a trip, follow the usual process by selecting Create New Trip from the left side menu bar and entering the patient's name. The system will automatically choose the highest priority D-SNP coverage for the member if it is available, based on the member’s profile.
If necessary, you can manually select a different coverage from the available list. When clicking into the dropdown, you will be able to view different coverages with the following information:
Enrollment information
Coverage Information
Active/Inactive status for each coverage
Enrollment period date range
Once a specific coverage is selected, the blue patient information window will display the following details:
Member ID
Group Number
Program ID
Trip Counts: Specific to the selected coverage, this section includes:
Trip counts for the current calendar year.
Coverage classifications (e.g., NEMT, NMT).
Number of completed and scheduled trips.
Maximum trip count allowed for the selected coverage.
Please note: Trip counts will only appear after you select an appointment reason. They will automatically update based on the coverage type and appointment reason you choose.
Coverage Period: Displays the date range for the selected coverage.
Continue with the remaining steps as you would normally to finalize the trip booking.
When viewing the D-SNP eligible member’s information, the blue patient information box will now be updated to show the completed, scheduled, and remaining trip count.
Trip Limits
If you try to book a trip with D-SNP coverage and the maximum trip limit has been reached, you'll receive an alert preventing you from proceeding with the booking.
You’ll then be prompted to adjust either the Selected Coverage or the Date(s) of Service before continuing to the next step.
New Features
Trip Details now allows you to view the attributed insurance for a specific trip. Please note, the "Sponsor Name" represents the insurance company, which may differ from the "Payer Name" listed in the member's profile.
We’ve also updated the Member Profile Insurance section to include Group Numbers and Program Identification Numbers, which are used to determine if a member has D-SNP coverage. Please note, these fields are not editable, as they are expected to be imported through an 834 file.
Frequently Asked Questions
What if a member exceeds the number of allowable trips per year?
A warning will pop up and not let you move forward with the trip creation without selecting a different insurance or changing the date of service to be a different calendar year.
How do I know what the coverage period is?
Coverage periods, if defined, will appear under the insurance section of the blue box during trip creation. They're also displayed on a member's profile in the insurance section.
Which insurance represents the D-SNP?
D-SNP insurance is identified by the following:
Group number must be "NMDSPN2"
Program ID number must be one of:
NMDSNPF2
NMDSNPP2
NMDSNPF3
NMDSNPP3
NMDSNPF4
NMDSNPP4
NMDSNPQ4
Do I have to select the D-SNP insurance first, as those trips need to be exhausted before moving to Medicaid?
The first-defined, active DSNP coverage will be auto-selected. If a member has a DSNP coverage defined in their profile, but it is not active, the next active coverage will be auto-selected. If a member does not have any active coverage, the inactive DSNP coverage will be selected if defined; otherwise, the first-defined coverage will be selected.
How do I know how many trips remain?
"Completed" and "scheduled" trip counts for the current calendar year are displayed in the blue box during trip creation. These two numbers can be added together to calculate the total number of trips exhausted by the selected coverage in the current year. Currently, there is no way to see trip counts for other calendar years. (we may also consider adding trip counts to the member profile, but this is not currently implemented)
What if I mistakenly book a trip over limit?
The system will prevent exceeding the limit. If, for any reason, the trip limit for a coverage is exceeded, future bookings with the same coverage will not be possible.
What happens if I reach my trip limit for D-SNP coverage when scheduling recurring trips?
If your trips exceed the yearly limit:
Schedule trips up to the limit, then book the rest through Medicaid.
Or, wait until the new calendar year to book the remaining trips once your trip limit resets.
